    New iplicit user interface

    We have refreshed the iplicit interface. The look and feel has changed, but the underlying functionality remains unchanged: your data, your workflows, and the way you complete tasks all stay the same. This refresh creates a more consistent experience across the application and provides a foundation for future feature and user experience improvements.

    We will introduce the new user interface through a phased rollout, scheduling activation for groups of customers over a series of weeks. This approach allows us to monitor system performance, respond to feedback and address issues between batches, while keeping support available and responsive throughout the transition.

    Customers will be invited to indicate their preferred activation week, with details explained during the webinar. We will review performance, support demand, and reported issues before proceeding with each subsequent batch, adjusting the rollout schedule where needed. Customers who wish to move sooner can ask their system administrator to enable the new interface using the toggle in Environment Defaults, without waiting for their scheduled batch.

    What's new

    • A modernised visual design across the whole application, with a new colour palette, typography, icons, and controls.

    • Refreshed navigation and page layouts, with clearer hierarchy and better use of screen space so more information is visible without scrolling.

    • Improved consistency between screens, so forms, lists and enquiries behave and look the same wherever you are.

    Branding and Logo Update

    Following the October 2026 release, the iplicit logo will be updated within the following applications and services:

    • Print Service
    • MTD Portal
    • Electron

    This is a branding update only and does not affect functionality or the way these services are used. Users can continue working as normal with no changes to their existing processes.

    Customer-Managed Tax Rate Enhancements

    We have introduced new capabilities that give customers control over Tax rates for customer-managed tax authorities.

    Going forward, customers are responsible for maintaining tax rates for these tax authorities directly within iplicit.

    iplicit will continue to manage and automatically deploy tax rate changes only for the United Kingdom, Ireland and Canada tax authorities.

    • Tax Rate Maintenance: Maintain tax rates against the tax bands available within a customer-managed tax authority.

    • Effective-Dated Tax Rates: Set tax rate changes to take effect from a specified date, ensuring new transactions automatically use the correct rate from that date onwards.

    • Audit Logging: Track tax rate additions, amendments and deletions, including the details of the change, who made the change and when it occurred.

    • Improved Visibility: Warnings are displayed where tax rate changes affect future transactions but do not automatically update existing posted transactions.

    These enhancements provide greater flexibility for organisations operating in territories where tax rates must be maintained locally, while ensuring customers in the United Kingdom, Ireland and Canada continue to receive tax rate updates automatically from iplicit.

    Budgeting

    • Users can now add up to three attributes when entering budgets, providing greater flexibility for budget analysis and reporting.

    • Budget imports from Excel now support up to three attributes.

    • Attributes can now be removed when navigating back through the Create Budget wizard, allowing budget configurations to be amended without restarting the process.

    • Users can now review selected accounts in a chart of account matrix during the Review step of the Create Budget wizard, providing greater visibility before the budget is created.

    • The Create Budget wizard has been redesigned to open in full-screen mode, making it easier to view and manage budget information.

    • Revised budgets in a draft state can now be duplicated, making it easier to create alternative forecast scenarios without repeating setup work.

    • Improved controls have been introduced to prevent conflicting structural changes when editing budgets, forecasts, or revised budgets. Users are now notified when a Budget wizard session is already active, helping to maintain data consistency.

    • Budget security and usability have been improved by allowing users to access budgets where they have permission to one or more included legal entities. Budget lines associated with unauthorised legal entities remain hidden in accordance with existing access controls.

    • A validation check has been introduced during budget creation, manually or via import, to prevent budgets containing more than 100,000 rows from being created, helping to maintain system performance and reliability.

    • Two new budgeting API endpoints have been introduced: Get Budget List, which returns a list of available budgets, and Get Budget Amount, which returns the budget amounts for a specified budget.

    • Help text tooltips have been added to key budgeting configuration options within Environment Defaults, providing in-context guidance and making it easier to configure budget checking rules.

    • The naming of budget checking level options within Environment Defaults has been updated to more clearly reflect their behaviour, helping users configure budgeting settings with greater confidence.

    • Budget checking warning indicators are now displayed on purchase orders and purchase requisitions when a line is projected to exceed the available budget, helping users make informed spending decisions.

    • Budget overspend warnings are now persistently displayed at the top of purchase orders and purchase requisitions when any line exceeds the available budget, improving visibility throughout the document lifecycle and approval process.

    • Budget checking events are now recorded in the audit log for purchase orders and purchase requisitions when spending exceeds the available budget, providing a clear history of budget breaches.

    • A new budgeting permission has been introduced, allowing users to view budget information on purchase orders and purchase requisitions without requiring access to the Budgeting module.

    • Budget checking can now include committed balances alongside actual posted balances, providing a more accurate view of available budget. New configuration options also allow administrators to control which document types contribute to the committed balance calculation.

    • Budget checking can now be applied at attribute level, allowing expenditure to be validated against the overall attribute budget rather than individual chart of account budgets.

    • Budget checking on purchase orders and purchase requisitions now uses the intercompany legal entity specified on each line, ensuring budgets are validated against the correct legal entity associated with the expenditure.

    • Prepayments can now be included in budget checking committed balance calculations. When Prepayments is selected within the Budget Checking Committed Documents setting, unrecognised prepayment values will be included and validated using the configured budget checking method.

    • A new Budget Checking Stop setting has been added to Environment Defaults, allowing organisations to prevent the submission of purchase orders and purchase requisitions that exceed the available budget. When enabled, documents with over-budget lines cannot be submitted until the budget breach is resolved.

    • Improved budget checking behaviour for budgets that do not use attributes. When Check at attribute and chart of account level is selected, budget validation will now correctly assess spend against the chart of account budget where no attributes have been configured.

    • Improved budget value entry functionality, allowing users to scroll and populate values across all periods within a budget line more efficiently.

    • Enhanced filtering for budgets that use multiple attributes, ensuring attribute columns remain visible while filtering.

    • Enhanced the Budget Review screen to provide a complete view of budget details at the final stage of the budget wizard, making it easier to review and confirm information before completing the setup.

    Pause and Cancel Recurring Template Lines

    We have enhanced Recurring document templates to provide greater flexibility when managing ongoing recurring transactions, such as subscriptions, regular charges and billing arrangements.

    Individual lines within recurring sales invoice, purchase invoice and journal templates can now be paused, resumed or cancelled. Lines can be paused individually or in bulk, with the option to automatically resume on a future date, while paused lines can also be reactivated at any time.

    Cancelled lines remain visible for audit and reporting purposes, and clear status indicators help distinguish between active, paused and cancelled lines.

    Any changes to line status will also restart the approval workflow, ensuring updates are reviewed and approved before taking effect.

    Cin7 Core Integration Enhancements

    Customer and Supplier Matching Enhancements

    We have introduced a range of improvements to the Cin7 integration, giving administrators greater control over how customer and supplier records are matched and created in iplicit.

    Flexible Matching Options

    You can now choose how Cin7 customers and suppliers are matched to existing records in iplicit:

    • Match using Name and Tax Number.
    • Match using a selected Cin7 attribute field.
    • Configure customer and supplier matching independently.

    This provides more flexibility for organisations whose Cin7 records do not align with traditional account coding structures.

    Use Cin7 Attribute Values as iplicit Codes

    When creating new customers or suppliers from Cin7, you can now specify a Cin7 attribute that should be used as the iplicit customer or supplier code.

    This allows organisations that maintain their own customer or supplier references in Cin7 to retain those codes when records are created in iplicit, helping ensure consistency across both systems.

    Improved Record Creation and Synchronisation

    Additional enhancements have been made to simplify ongoing synchronisation:

    • Automatically create customer and supplier records when no match is found.

    • Automatically link matched records to reduce manual intervention on future imports.

    • Support multiple Cin7 customer or supplier records being linked to a single iplicit record where required.

    • Enhanced matching reports provide greater visibility into matching decisions and attribute values used.

    • Improved validation and logging help identify configuration and data issues more easily.

    Auto Submission Improvements

    We have improved the Cin7 integration to make automatic document submission more reliable when working with newly created customers and suppliers.

    When Auto Submit Documents is enabled, iplicit now checks that the related customer or supplier has been fully authorised before attempting to submit a document. If the record is still in draft status, the document submission will be deferred, and a clear message will be recorded in the Event Log.

    Affected documents will be automatically retried during the next scheduled synchronisation run, helping to reduce manual intervention and ensuring documents are submitted as soon as the associated customer or supplier is authorised.

    Other Enhancements & Minor Fixes

    Imports / Exports

    Fund Export

    • Performance improvements have been made, providing faster export times when generating large Excel files.

    Customer Import

    • Improved to correctly validate description field character limits, allowing files with valid description lengths to be imported successfully.

    Asset Import

    • Improved the process to support records where the asset code is not supplied in the import file. Assets can now be imported successfully when codes are not provided in the import file and are being automatically assigned on asset creation.

    Data Access Control Export

    • Enhancements have been made to improve the reliability of exporting large DAC files.

    Manual Journal Import

    • Improved the processing of large files to ensure all journal lines are included and handled correctly.

    • Reversing manual journals imported through document import now return to Draft status when a batch is unposted, ensuring document statuses remain aligned and allowing journals to be reviewed and resubmitted where required.

    Legal Entities

    • Additional validation has been introduced to protect financial data integrity by preventing changes to the currency of a legal entity once postings exist against it. Where posted documents are present, currency changes cannot be submitted, and clear on-screen guidance is provided to explain the restriction.

    Tax

    • Domestic Reverse Charge can now be applied at individual purchase invoice and credit note line level, allowing a combination of reverse charge and standard VAT treatments within the same document.

    • Withholding tax access is now controlled through dedicated user roles, providing separate permissions for maintaining and viewing withholding tax details.

    Documents and Document Types

    • A new read-only Bank Reconciliation Number field has been added to supported documents, providing visibility of the bank reconciliation in which a transaction was matched. The field is automatically populated when a document is reconciled and cleared if it is later unreconciled. For manual journals, reconciliation numbers are displayed at line level, reflecting the reconciliation status of each individual line. This information is available for reference only and cannot be edited from the document.

    • Registered Documents have been updated to provide clearer distinction between document numbers and registered document numbers.

    • The popout document viewer now retains the selected document while navigating between areas of the application and updates correctly when a different document is selected.

    • Restricted actions are now displayed correctly within document type configuration screens where applicable.

    • Documents can be cancelled and resubmitted when an authorisation step cannot be assigned, helping to prevent documents from becoming stuck in the workflow.

    • Bulk payment and receipt processing has been improved to ensure documents within a batch can be successfully reposted when required, helping keep document and batch statuses in sync and preventing batches from becoming stuck during posting.

    GoCardless

    • Additional safeguards have been added to prevent duplicate requests from being created for an invoice when there is already an active payment request in progress.

    • Error handling for Instant Payments has been enhanced to provide clearer and more informative messages when payment creation cannot be completed.

    Bank Feeds

    • Enhanced Yapily transaction matching, to help ensure transaction accuracy and reduce duplicate entries.

    • Disconnected bank feed accounts no longer reappear during scheduled refreshes after being removed.

    Punchout

    • Updated the purpose of the Punchout Entry user role to Entry, providing a clearer description of its function for users entering punchout orders.

    • Improved the user selection experience in Punchout Group setup by displaying users in alphabetical order.

    Reports

    • Updated the VAT Return (UK) Excel report so that Box 4 displays the correct description for inputs.

    • Sales Invoice: UK2 report has been improved to display 0% tax rates correctly.

    Other Items

    • Fund and fund type information are now correctly retained when creating assets from qualifying transactions.

    • The amend action for Chart of Accounts records now remains available regardless of the status filter selection.

    • Contact Groups can now be updated to remove the supplier designation when business requirements change.

    • Units of measure configured with zero decimal places now correctly enforce whole-number quantities.

    • The edit action for Credit Control grace periods now opens the editing screen directly when selected.

    Enquiries

    • A Customer Group filter has been added to the Sales Invoice enquiry in the new UI, enabling invoices to be filtered directly by customer group.

    • The Project Profit and Loss enquiry now correctly applies project resource access restrictions.

    • The Legal Entity filter within the Cost Centre enquiry has been updated to return filtered results correctly.

    • The project filter has been removed from the Archive Documents enquiry where it could not accurately filter document results.

    • A redundant GL column has been removed from the VAT Return Breakdown enquiry to improve report clarity.

    • Credit Control filtering has been enhanced to correctly support disputed items, and row selection behaviour has been improved following enquiry refreshes.

    • The Prepayment Invoices enquiry has been updated to provide clearer reporting of remaining values in both document and currency amounts.

    • Partial Tax annual analysis and adjustment reporting have been aligned to ensure consistent treatment of transactions within the selected tax period.
