    Asset Groups

    Asset Groups are used to apply accounting rules and default settings to related assets, based on the nature of the assets. The Asset Groups can then be used later for reporting purposes.


    How to view Asset groups

    View Asset Groups

    To view all the Asset groups that are available, select Asset groups option either from Settings section in the pulse menu -

    Position of the menu items within pulse will vary according to available options and dependant on personal screen resolution.

    or from the Quick Launch Side Menu.

    This will then show the Asset groups on the system where normal customisation of Sets can be used.

    Tip

    To modify the columns displayed, select on the top right of the page, then tick/untick the information you want to hide or display.

    How to create Asset Groups

    Create Asset Group
    1. Select Asset groups from one of the options as shown above in Viewing Asset Groups.

    2. Press New.

    3. Enter the details as required -

      • Code - Enter a unique code for the Asset Group.

      • Description - Enter a unique description for the Asset Group.

      • Asset type - Select the Asset Type

        • Tangible Assets are physical items that have a value and can be touched.

          e.g. Computers, Furniture, Vehicles, Buildings.

        • Intangible Assets are non-physical items that usually have a theoretical value set by the Company.

          e.g. Trademarks, patents, licenses, goodwill.

        • Non capital

        • Non-depreciating (Tangible/Intangible) either of the above but with no depreciation.

      • Depreciation method - select a depreciation method from the dropdown list.

        A default set of Depreciation Methods will already be created. The Customer will be able to amend individual methods, create new ones or delete obsolete ones. See Asset Depreciation Methods.

        Note

        Any locked depreciaton methods will not show in the list.

        As a default, all 4 Weekly depreciation methods will be locked and will need to be unlocked if required.

      • Depreciation percentage: This field will only show if Double declining or Reducing balance methods are selected.

    4. Custom Fields: These can be added by selecting in this tab, then filling out the selection criteria.

      Warning

      You cannot add a Custom Field containing a space. If you do, you will get a warning message and will be prevented from completing the Save.


    1. Select Create to save Asset Group.

    How to edit Asset Groups

    1. In the Asset Groups menu, select the Group you wish to edit, double click to open.

    2. Select Edit so make changes.

    3. Once all changes complete, select Save.

    How to lock Asset Groups

    Lock Asset Group

    If you wish to reduce the list of available Asset Groups, you can Lock the group.

    1. In the Asset Groups menu, select the Group you wish to lock, double click to open.

    2. From the button, select Lock.

      The Asset Group just locked, will no longer show on the refreshed Open view.

      On the Recent view, the Asset Group just locked, will show with a icon.

      When creating a new Asset, the Asset Group locked will not be visible in the dropdown list.

    How to unlock Asset Groups

    Unlock Asset Group

    To see the locked Asset Group in the available list again, you can Unlock the group.

    1. In the Asset Groups menu, select the Group you wish to unlock from the recent view, double click to open.

    2. From the button, select Unlock.

      The Asset Group just unlocked, will now show on the refreshed Open/Recent view, and the symbol now shows as the symbol.

      When creating a new Asset, the Asset Group unlocked will now be visible in the dropdown list.

    How to delete Asset Groups

    To remove the locked Asset Group completely so it is no longer available - The Asset Group must be locked before it can be deleted.

    1. In the Asset Groups menu, select the locked Group you wish to delete from the recent view, double click to open.

    2. From the button, select Delete.

      A confirmation screen appears for you to agree to delete the Asset Group.

      The Asset Group just deleted, will not show on the refreshed Open/Recent view.

      When creating a new Asset, the Asset Group deleted will not be an available option in the dropdown list.
